PURPOSE: Serves as support to Manager with day-to-day operations. Exhibits superior customer service skills, ability to handle employee communications tactfully and essential matters confidentially. Assists in numerous fields within the department by multitasking and prioritizing workloads. Promotes teamwork and positive interactions. Ability to travel to satellite offices as needed.Hours of Operation: 7am-7pmPhysical Therapy North Offices:2 First Avenue, Suite 211 Peabody, MA (Primary work location)Occasional coverage at additional office locations:30 Tozer Rd, Beverly, MA20 Henry Graf Rd. Newburyport, MA331 Gloucester Avenue, Gloucester, MAEDUCATIONAL REQUIREMENTS: High School diploma or GED.EXPERIENCE: One-year medical office experience. Health care receptionist experience preferred.ACCOUNTABILITIES:Assists with insurance benefits and authorization tracking for upcoming appointmentsConducts periodic audits of insurance authorizations and referrals, addressing any outstanding issues.Conducts reviews of patient account records, - running reports and targeting patient balances for collections.Oversees clinical schedule management - shifting patients to open slots and monitoring for issues.Assists with managing the Physical Therapy Coordinator referral bucket, scheduling postoperative appointments.Assists with workflow enhancements - collaborates with manager on way to improve workflows and current SOPsAssists management with recruiting: fields applicants, conducts phone interviews /1st interviewsTrains new employees.Front desk back up coverage across all sitesAthena inbox management: working outstanding orders, prescriptions, patient cases, working plan of cares, scheduling therapy evals/re-evals, responding to patient messages in our practice management system.Reporting measures - care teams, lost patient list, closed episodes, submitted consults, missing slips etc.Oversight of administrative staff and coaches along learning opportunitiesInteractions with providers in both therapy and orthopedic specialtiesCommunicates with outside vendors, insurance companies, medical officesUtilize patient electronic medical records via practice management system.Abide by HIPAA regulations to protect patient confidentiality.Other duties as assignedKNOWLEDGE:Knowledge of medical practice procedures and functions preferredPrevious experience with office equipment including copiers, fax machines and computersKnowledge of medical records filing systems (both alphabetically and numerically) and procedures, policies including state and federal compliance of HIPAA and other regulatory policiesKnowledge of computer systems and associated applications (hardware/software) in support of organizational, business and department functionsKnowledge of proper grammar, spelling and punctuation, sentence structure and proofreading for accuracyKnowledge of insurance regulations, policies and proceduresKnowledge of medical office procedures, policies, practices and medical terminologyGood oral and written communication skillsAbility to develop and maintain effective and professional working relationships with patients, medical staff, coworkers and the publicKnowledge of common safety hazards and precautions to establish a safe working environmentSKILLS:Ability to develop and maintain effective and professional working relationships with patients, medical staff, coworkers and the publicAbility to react calmly and effectively in emergency situationsAbility to interpret, adapt and apply guidelines and proceduresAbility to work with a diverse population, demonstrating patience and professionalismAbility to maintain strict confidentiality on all patient issuesMust be a team player with a positive attitudeAbility and desire to represent the clinic in a professional mannerPosition require sympathy, tact and understanding in dealing with patients, physicians, and coworkersAbility to adjust to various personalitiesAbility to work with and without supervision and perform a variety of routine tasksWillingness to accept responsibility for established procedures
